Terms and Conditions of Service

LawnHQ is operated by Korlo Ltd (Company Number 17280649), trading as LawnHQ.

1. Introduction and Agreement

These Terms and Conditions govern your use of the LawnHQ software platform, accessible at lawnhq.co.uk and associated subdomains. By creating an account, starting a free or paying for a subscription, you (the Operator) agree to these Terms in full.

The Service is intended for professional lawn care operators based in the United Kingdom.

2. Definitions

"LawnHQ", "we", "us", "our" means Korlo Ltd (Company Number 17280649), trading as LawnHQ.

"Operator", "you", "your" means the lawn care business or individual using the Service under a subscription or subscription.

"End Customer" means a person whose data is entered into the Service by the Operator, typically the homeowner receiving lawn care services.

"Operator Data" means all data, content, and information uploaded, entered, or generated by the Operator in connection with the Service.

"Subscription" means a paid plan providing access to the Service on a recurring basis.

3. The Service

LawnHQ provides a cloud-based software platform for UK lawn care businesses, including customer management, visit scheduling, treatment programme management, automated customer communications, invoicing, and reporting.

We reserve the right to modify, update, or discontinue features of the Service at any time. We will give reasonable notice of material changes where they affect your use of the Service.

4. Account Registration

You must provide accurate, complete, and current information when creating an account. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You must be at least 18 years old to use the Service.

5. Subscription and Payment

Access to the Service requires a paid subscription. You must provide a valid payment method to begin using the Service.

Subscriptions are available on a monthly or annual basis at the rates published on our pricing page.

If payment fails or is not made:

Access to the Service will be suspended automatically on day 15. Your data will be retained securely and will not be deleted. You may reactivate at any time by providing a valid payment method. If no payment is received within 30 days of a missed payment, we reserve the right to suspend access. If no payment is made within 6 months, we reserve the right to permanently delete your Operator Data. If your data is deleted, a record of your account (but not your data) is retained for audit purposes.

6. Subscriptions and Payment

Subscription plans and pricing are set out at lawnhq.co.uk/pricing. All prices are in pounds sterling and are inclusive of any applicable VAT.

Subscriptions are billed monthly or annually in advance. Payment is processed by Stripe. If a payment fails, we will notify you and may suspend access until payment is received.

You may cancel at any time through account settings. Cancellation takes effect at the end of the current billing period. We do not provide refunds for partial billing periods unless required by law.

We may change subscription pricing with at least 30 days written notice.

7. Data Ownership

All Operator Data entered into the Service remains your property. We do not claim ownership of your Operator Data.

We are granted a limited licence to process your data solely to provide the Service and to generate anonymised platform insights. We will never sell your Operator Data to third parties.

You may export your Operator Data at any time through the Service's export tools.

8. Acceptable Use

You agree not to use the Service to violate any applicable UK law or regulation, infringe the rights of any third party, introduce malware or malicious code, or use the Service for any purpose other than managing your own lawn care business.

9. Operator Obligations Regarding End Customer Data

You are responsible for ensuring you have a lawful basis under UK GDPR to process your End Customers' personal data using the Service. We act as a Data Processor with respect to End Customer data. You act as the Data Controller. A Data Processing Agreement is available on request.

10. Intellectual Property

The Service, including all software, designs, and content created by us, is owned by or licensed to LawnHQ. You are granted a limited, non-exclusive, non-transferable licence to use the Service for the duration of your subscription.

11. Availability

We aim to make the Service available 99.5% of the time in any calendar month, excluding planned maintenance. We are not liable for downtime caused by factors outside our reasonable control.

12. Limitation of Liability

Our total aggregate liability in any 12-month period shall not exceed the total fees paid by you during that period. We are not liable for indirect, consequential, special, or punitive damages, loss of profits, or business interruption.

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

13. Data Retention and Deletion

While your subscription is active, we retain your data to provide the Service. Following cancellation, your data is retained for 30 days, after which it is permanently deleted unless you have requested export.

Accounts with lapsed subscriptions may have their data deleted after 6 months.

You may request deletion of all your data at any time by emailing legal@lawnhq.co.uk. We will process deletion requests within 30 days.

14. Termination

You may terminate your account at any time. We may suspend or terminate access if you materially breach these Terms, fail to pay amounts due, or use the Service in a way that causes harm.

On termination, you have 30 days to export your data before it is permanently deleted.

15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.

16. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by email at least 14 days before they take effect.
